GST Registration Documents Checklist for a New Business

Most GST registration delays come down to one thing: incomplete or mismatched documents. Gathering everything before you start the application on the GST portal saves the back-and-forth of a clarification notice. The exact list depends on your business structure.

Documents every applicant needs

  • PAN card of the business (or the individual, for a proprietorship)
  • Proof of the principal place of business — a recent electricity/utility bill, property tax receipt, or rent/lease agreement plus a No Objection Certificate from the owner if rented
  • Bank account proof — a cancelled cheque, bank statement, or the first page of a passbook showing account number, IFSC and account holder name
  • Passport-size photograph of the proprietor/partners/directors
  • A valid mobile number and email address for OTP verification

Additional documents by business type

Proprietorship

Just the proprietor's PAN and Aadhaar — no separate business PAN exists since the business and individual are legally the same entity.

Partnership firm

  • Partnership deed
  • PAN of the firm
  • PAN and address proof of all partners
  • Authorisation letter or board resolution naming an authorised signatory

LLP

  • Certificate of Incorporation
  • LLP Agreement
  • PAN of the LLP
  • PAN and address proof of designated partners

Private Limited Company

  • Certificate of Incorporation
  • PAN of the company
  • Memorandum & Articles of Association
  • PAN and address proof of all directors
  • Board resolution authorising a signatory, with that signatory's details

Common reasons applications get held up

Address mismatches between the utility bill and the application are the single most common issue — the name on the electricity bill should reasonably match the applicant or the property owner named in the NOC/rent agreement. A blurry or cropped photograph, or a bank proof that doesn't clearly show the account holder's name, are the next most common causes of a clarification query.

Key takeaways

  • Document requirements scale with business complexity — proprietorships need the least, companies the most.
  • Address-proof mismatches are the most common cause of registration delays.
  • Gathering everything before starting the online application avoids most clarification notices.
FAQ

Frequently asked questions

No — a registered address is required (which can be a home address, co-working space, or virtual office with proper documentation), but there's no requirement that it be a dedicated commercial office.

A savings account can generally be used for proof of the bank account, though many businesses eventually open a current account for day-to-day operations regardless.
